Import Pre-existing Payouts

Import previous payments to keep your payout history in one place. A payouts CSV is enough to record totals. Add order-item and additional-item CSVs when you want the full breakdown.

Prepare the records in order

Choose how much history you want. For a simple record of past payments, import consignors and a payouts CSV with the totals and paid dates. You can keep old sales Settled using your start date. To link each payout to its individual sales, also assign products and load the relevant Shopify orders from Settings and setup › Tools. Those sales must already exist in Consignify and belong to the payout’s consignor.

  1. Prepare one row per payout with Consignor Key, Amount and Paid Date. Use a date such as 2026-09-30 for a paid payout, or unpaid for one still awaiting payment. Give each payout a unique Reference, preferably the reference from your old system. Amount is the total recorded payment.
  2. If you want to link individual sales, prepare one row per sale included in each payout. Identify its payout with Payout Reference or Payout ID, and the sale with Line Item ID or SKU plus Order Name or Order ID. Include Consignor Share %, Quantity, Amount and Fulfilled At Date. Amount here is the consignor commission for that row, not the retail sale price. Order names must match Shopify exactly, including the # in #1001.
  3. Open Payouts › Import/export › Import payouts & line items CSVs. Upload the payouts file, and optionally its order-item and additional-item files. The importer processes payouts first, order items second, and additional items last. Use the same reference in each file: Reference in the payouts file and Payout Reference in the item files.

Use dates in YYYY-MM-DD format and plain numbers such as 125.50, without currency symbols or thousands separators. Keep CSV headers in English. For later corrections, export the records and keep their IDs. Additional items without an ID create new rows every time, so reimporting them without IDs duplicates them. Export again after editing a payout because its additional-item IDs may change.

Payouts CSV (one row per payout): Required fields — Consignor Key, Amount, Paid Date (a date, or unpaid for an unpaid payout). Optional: Consignify Payout ID, Reference, Adjustment, Note. If you omit Reference, Consignify generates one, except for a new unpaid payout, which needs one. An import never changes whether an existing payout is paid: use Save as paid on the payout instead. A row whose payout already exists for a different consignor is rejected: an import can't change a payout's consignor.

Order items CSV (optional, one row per sale): identify the payout with Payout ID or Payout Reference. Identify the sale with Line Item ID, or SKU plus Order Name or Order ID. Required: Consignor Share %, Quantity, Amount and Fulfilled At Date. The sale must already be loaded and belong to that payout’s consignor. Optional: Sales Total and Sales Total Before Discount, which are calculated from the sale when omitted for new links. For cost-based policies, you can also provide Commission Rate Type (FIXED, PERCENT_OF_NET or PERCENT_MINUS_COST); the net and minus-cost policies require Cost Basis. The default rate type is PERCENT.

Bonuses, deductions and other additional items

If an old payout includes amounts beyond its Shopify sales, prepare the third CSV with Payout Reference or Payout ID, Description and Amount. For example, 10.00 adds a bonus and -5.00 records a deduction. These are separate from the payout’s optional overall Adjustment.

Importing payout totals alone is a useful way to keep past payment history. It does not link or settle individual sales. Sales before your start date remain Settled. If an imported payment covered sales on or after that date, link those sales with an order-items CSV so they do not come up for payment again.

Check the imported history

Compare a few payouts with your old receipts: consignor, paid date and total. If you imported item files too, check that the sales commissions, additional items and adjustment add up to the recorded total. In the examples, 50.00 commission minus a 5.00 fee gives a 45.00 payout. A totals-only import shows the payout history without linking sales. Sales before your start date remain Settled; link any paid sales on or after that date to their historical payouts so they are not paid twice.
